6 Signs You Need to Delegate + How to STOP Being the Bottleneck


Delegating can be one of the most challenging tasks in your business. It may be because you don't have managerial experience, so everything team-related is new and feels daunting. Or you might struggle to give up control because you believe the way you do things is best. That, or a bad experience with a team member in the past has you hesitating.


Let's look at the 5 KEY SIGNS you need to delegate. If you're experiencing even one of these, delegation is your next step, and I'll show you how to get started with that, too.


  1. Overwhelm and Burnout: Do you feel overwhelmed or like you are "drowning" in tasks? Are you working non-stop or missing deadlines? Either way, you are stressed and exhausted often.

  2. Lack of Time Off: When did you last take a proper vacation or even enjoy a relaxing weekend? If you can't remember, it's a clear sign that you must delegate more. You deserve downtime to recharge and enjoy life.

  3. CEO-Level Tasks: As the CEO, you should focus on vision, strategy, and high-level decision-making, NOT daily implementation. Spending a significant portion of your time doing detailed work rather than overseeing it is a sign you need to be delegating more.

  4. Team Underutilization: If your employees or contractors wait for you to give them tasks, it indicates a lack of delegation. Empower your team to take initiative and handle responsibilities independently.

  5. Missed Opportunities: You find yourself turning down potential clients, neglecting sales conversations, or passing on PR opportunities due to lack of time. This behavior can stunt your business's growth big time!

  6. Decline in Quality: When you're stretched too thin, mistakes can creep in, and your work may suffer. Maintaining high standards is crucial; delegation can help you keep them without compromising your well-being.


If you are experiencing one or more of these challenges, it's time to up your delegation. Here are some simple steps to get started:


  • Identify Your Core Responsibilities: Define your essential tasks as a business owner. These areas require your specific expertise (this overall vision, strategic decision-making - the things YOU have to do).

  • Assess Your Team: Understand your current team's skills and capabilities. Are there areas where they can take on more responsibility?

  • Create Clear Processes: Develop standardized processes for tasks you plan to delegate. For example, my team has Google Doc templates for every piece of content we regularly produce (like our podcast shownotes and this newsletter).

  • Empower Your Team: Encourage your team to take ownership of their tasks and make decisions within their roles. Trust their abilities.

  • Regular Check-Ins: Maintain open lines of communication with your team. Regular check-ins help ensure everyone is aligned and moving in the right direction. My team has a weekly Zoom meeting, and every team member is assigned to check Slack, Email, and their Clickup notifications every working day of the week so we can all stay in touch.

  • Evaluate and Adjust: Continuously assess the delegation process and make necessary adjustments if something isn't working. Delegation is not a one-and-done thing. It's a continuous process!


Delegation isn't about abdicating control. View it as a way to share responsibilities so you can grow and have a better work-life balance.
